Job Description

Oversee the collection of documentation necessary for enrollment in the district such as immunization records, birth certificates, proofs of residency, parental documentation, immigration paperwork or related forms;

Coordinates with Transportation and Pupil Personnel units in the identification of transportation or special education needs;

Retrieves information from students’ previous school districts;

Acts as main contact for social services or other legal agencies regarding appropriate data reporting as necessary;

Oversees the computerized student demographics data and advises district divisions on the maintenance of student personnel records and forms;

Maintains database of records for private school students for the purposes of transportation, special education services, or related fiscal matters;

Maintains database of preschool children for census purposes and the identification of special education services and communications;

Coordinates the investigation and confirmation of student residency issues with school attorneys and investigators;

Oversees the maintenance of required census information;

Prepares a variety of reports on school census, demographic, or other information.

Job Qualifications

A) Graduation from a New York State or regionally accredited college or university with an Associate’s Degree in Business Administration, Computer Information Systems, Human Services or related field and two (2) years of work experience in the processing and maintaining of technical records in a computerized database such as vital records, medical records, school records, personnel records, legal records or statistical records; or,

B) Possession of a high school diploma or general equivalency diploma and four years of work experience as an office manager who provides fiscal, personnel, or office services in support of an agency head, included or supplemented by two (2) years of work experience in the processing and maintaining of technical records in a computerized database such as vital records, medical records, school records, personnel records, legal records or statistical records; OR

C) A combination of education and experience as defined by the parameters of A-B, above.

NOTE:
Successful completion of up to twelve (12) semester credit hours from a regionally accredited or New York State registered college, university or business school may be substituted for up to one (1) year of work experience.
